Why Documentation Is the Foundation of Every Claim
In property insurance claims, the burden of proof rests with the insured. The policyholder must demonstrate that a covered loss occurred, that the damage is within the scope of coverage, and that the claimed amount is supported by evidence. Phase 1: Immediate Post-Loss Documentation
Within 24–48 Hours of the Loss
- Photograph all damaged areas before any cleanup or temporary repairs
- Photograph the cause of loss (storm damage, fire origin, water source)
- Document temporary repairs with photographs and receipts
- Obtain a weather report or NOAA data confirming the loss event
- Secure the property to prevent further damage (document all actions taken)
- Notify the carrier in writing within the policy's notice period
Phase 2: Property Inspection Documentation
Exterior
- Roof: photograph every slope, ridge, hip, valley, and penetration
- Gutters and downspouts: photograph impact marks, dents, and separations
- Siding: photograph each elevation with close-ups of impact damage
- Windows and doors: photograph frames, glass, and hardware damage
- HVAC equipment: photograph condenser fins, coils, and cabinets
- Measure all exterior dimensions for estimate accuracy
Interior
- Photograph every affected room from four corners and ceiling
- Document water intrusion paths from entry point to affected areas
- Measure all rooms (length × width × height) for drywall and flooring calculations
- Photograph all damaged personal property with serial numbers where visible
- Document any mold or secondary damage with close-up photographs
Phase 3: Supporting Reports and Estimates
- Contractor estimates from licensed contractors (at least two for major losses)
- Engineering report for structural damage or causation disputes
- Industrial hygienist report for mold or environmental contamination
- Contents inventory for personal property losses
- ALE (additional living expenses) receipts and documentation
- Mortgage company correspondence if applicable

- Complete copy of the insurance policy and all endorsements
- Declarations page confirming coverage in force at date of loss
- All carrier correspondence (letters, emails, text messages)
- Recorded statement transcript if one was taken
