An insurance claim document checklist is a pre-claim inventory of every document, photograph, record, and measurement that needs to be gathered before a property insurance claim is submitted. It is the tool that ensures nothing is missed — and in property insurance, a missing document can delay a claim by weeks, reduce a settlement by thousands, or give the carrier grounds to dispute coverage.

Property documentation includes the insurance policy (declarations page and all endorsements), the mortgage statement (if applicable), and any prior inspection or appraisal reports. Loss documentation includes photographs of all damaged areas (exterior and interior), a weather report or other cause-of-loss documentation, and any contractor assessments or emergency repair invoices. Financial documentation includes receipts for any damaged personal property, contractor estimates, and any emergency mitigation invoices. Correspondence records include all prior communications with the carrier, the carrier's claim number and assigned adjuster's contact information, and any reservation of rights letters received. Measurements and diagrams include room dimensions, roof measurements, and any sketches or diagrams of the affected areas. Supporting standards include any applicable IICRC documentation for water, mold, or fire damage claims.

The moment a claim is filed, the carrier begins its own investigation. A public adjuster who has already gathered complete documentation is in a far stronger position than one who is still collecting records after the carrier's adjuster has completed their inspection.
